What Forms data is included?

You can discover the following Microsoft Forms data with this preview:

Forms definitions: The Forms that users create and share
Forms responses: Responses to Forms

Prerequisites

Because discovery of Forms content in this preview requires premium features in eDiscovery, you need the following prerequisites:

eDiscovery: Microsoft Purview eDiscovery for your organization.
Licensing: Appropriate licensing for premium eDiscovery features.

How to search for Forms content

Create a case: To search for Forms content, first create and manage a case to support escalation activities or investigation requests. For more information, see Create and manage cases in eDiscovery.
Create a search: Use search in eDiscovery to find forms in your organization that are relevant to a case. For more details about how to create a search, see Create a search for a case in eDiscovery.
- The form creator’s Exchange mailbox
- In a M365 Group mailbox when a form is associated with a Microsoft 365 Group/Team
Use condition builder or KeyQL for search: In eDiscovery, you can use the condition builder for a simplified search experience or the Keyword Query Language (KQL) option for guided feedback when creating search and hold policy queries.
- To find both Forms definitions and responses, you can use the ‘Microsoft Forms’ type when creating a collection using the query builder or use the KQL editor with ItemClass=“IPM.File.Forms” as the search term.

Use Form ID to search: You can identify specific Forms by searching for their Form ID as a search keyword. The Form ID is identified within the URL of the Form.
Forms and responses can be grouped within the review set by selecting Group by conversations and related items.
Participants, recipients, sender can also be used to identify Forms definitions and responses.

How to export search results

Export search results: After a search associated with an eDiscovery case runs successfully, you can export the search results. For more information, see Export search results in eDiscovery.

How to apply a hold

To apply a hold to Forms data, create a new hold and select Exchange mailboxes as the location. Then select a specific user's mailbox if needed. Use the KQL editor and the filter ItemClass="IPM.File.Forms" to place a hold on just Forms data. For more information about creating holds, see Create holds in eDiscovery.
